This article will walk you through Sidekick’s Meeting Notifications feature.
This feature automatically sends messages to pre-defined stakeholders or Channels on Slack/ MS Teams when there is an upcoming meeting.
You can also direct Sidekick to include any HubSpot properties in the meeting notification, as well as action buttons to input meeting updates back into your HubSpot, directly from the Slack/ MS Teams message.
To enable the Meeting Settings feature, click on the dropdown menu on the upper-right hand corner of your Sidekick homepage, and select “Meeting Settings” from the options.
Here are the steps to activate Meeting Settings on Sidekick:
Step 1: Enable this setting by clicking on the button on the upper right corner, under Meeting Settings.
Step 2: Meeting Template: The purpose of a Meeting Template is to define the actual content of the automated message Sidekick will send for upcoming meetings.
- Click on the dropdown menu to select from your existing Meeting Templates.
- Click on “View Template” to review or edit the selected Template.
- If you want to create a new Meeting Template altogether, head over to Sidekick’s Templates page.
Pro-tip: Provide context about the purpose of the message by adding relevant meeting details in the Meeting Template section. These could include the Attendees’ Names, Email IDs, Associated Companies, Associated Deals, existing Notes, etc.
Step 3: Notify on: Select if you want Sidekick to send this message before the meeting starts, or after the meeting ends.
Step 4: Notification Lead Time: Define how much of a time lag you want between Sidekick’s message and the start or end of the upcoming meeting.
Step 5: Filter Criteria: This section let’s you define the logic based on which Sidekick sends Meeting Notification messages. Messages will be triggered for only those upcoming meetings that match the specific criteria defined by you here.
For example, you might want to trigger this message only for upcoming Sales meetings, not internal meetings or vendor meetings.
To do this, first click on “Add filters”:
- In the first dropdown, filter the HubSpot Property by “call & meeting type”
- In the second dropdown, define your logic by selecting “equals”
- In the third dropdown, enter the value you want to filter by, which in this case is “sales”
You can stack up multiple filters, by clicking on the “and” button for an and combination. Or click on the “filter group” button for an or combination.
Step 6: Destination: Select between Slack/ MS Teams.
Step 7: Destination type: Select where you want Sidekick to send the Meeting Notification messages on your Slack/ MS Teams. It could be sent to a specific Channel, or as a direct message to specific Users, or to the Meeting Owner.
Step 8: User: Use the dropdown menu to select the exact name for your desired Destination type.
Step 9: Once you’re done adding all the details, Click on “Save Changes”.
